Cash & LOP Payments - Thursday, December 29, 2011

1 . Any payment made by the client (cash or Ch) for future signup or payment made for old signups --- consultant MUST not hold with them self. Should be given to the Branch Manager or to the head office.

2. Any request for LOP, only and only request at lop@gtacredit.com. As well as the payment for letter of opinion should be mention(CHARGE $150 FOR LOP) in the comments, when you do the closing.

 
Commission Sheet - Thursday, December 29, 2011

Please use the following procedure for future Commision Sheet

  • 1.       Check pay period dates from Pay Day Calendar
  • 2.       Compile/arrange all files belongs to this pay period
  • 3.       Check sign up dates in closing sheet for all files
  • 4.       Check Ledger Account for each file, All files should have zero balance.
              If there is any discrepancy send an email at  911@gtacredit.com
  • 5.       Prepare your invoice by using new Commission Sheet
  • 6.       Enter data in yellow area. (Invoice Detail Area Only)
              Do not enter any date on 2nd page or other than yellow area
  • 7.       Double check your Invoice, sign it, scan it and send  at billing@gtacredit.com
  • 8.       Keep a copy for your record and save this template for future use.

Call Report

As all of you know that our advertising is based on your CALL PEPORTS . I am sure you don't want to advertise there,  where you are not getting any phone calls, Remember honest call report is good for the company as well as good for all the consultants with more phone calls. Please everyone mark it properly on the call report every day(DONT FORGET).

Cash & Check Payments

Just to remind you again all, any cash payment for current clients or future clients. Please make sure and make sure that you give the cash and checks to senior consultant by Friday 12:00pm. So that senior consultant can deposit in the bank on Friday or Saturday. When our audit staff make a cash report on late Saturday or Sunday (no one should have any cash or check with them). In other words, we would like to see no consultant should have any cash or check with them on Monday morning.

Closing Sheet

Kindly write down all PAP information on closing sheet (First Page) including Bank A/c. number.

 
Counseling Session Procedure - Thursday, December 29, 2011

Counseling Sessions

1st Counseling Session  (In case of BR we need income and expense)

1.    Call client in advance to confirm counseling session
2.    Check counseling dates and update from counselling’s sheet file (if required)
3.    Call QCC by phone, video conference or in person.
4.    Get signature on counselling’s sheet and on the other sheet
5.    Remind client about next counseling session
6.    YOU MUST NEED TO MAKE A PHOTO COPY OF THE COUNSELLING (BOTH SEETS)—IN CASE IF WE NEEDED IT.

2nd Counseling Session  ( In case of BR we need income and expenses)

Very Important:

  1. Send all signed counseling sheets to Head Office by Pre-Paid Canada Post Envelope on every Friday.
    Kindly include all client’s cheques in same envelope (if applicable)
  2. If you have any pending counseling, Try to get sign ASAP and inform to head office.

THE BEST PRACTICE:

JUST REMIND YOU ALL COUNSELLINGS ARE VERY VERY IMPORTANT. AS WE DID MENTION TO YOU- ON THHE SIGNUP DAY WHEN YOU MAKE A PRINT OUT OF THE COUNSELLINGS—KEEP IT IN ONE OF THE MONTHLEY FOLDER. SO THAT IT WILL REMIND YOU WHAT COUNSELLINGS YOU HAVE NOT DONE OR NEED TO DO. AS WELL AS MUST MAKE A PHOTOTO COPY OF THE COUNSELLINGS AND KEEP IT WITH YOU. WE WILL BE COLLECTING THE COUNSEELINGS END OF ECAH MONTH. WE WILL LET YOU KNOW ALL IN COMING DAY, HOW YOU SEND THE COUNSELLINGS TO THE HEAD OFFICE.

 
Sign up Procedure - Thursday, December 29, 2011

SIGN UP PROCESS:

1st  Meeting

In the 1st meeting, consultant is responsible to evaluate the client’s financial situation and describe all applicable options to the client. The consultant does not impose any option; he/she is only responsible for educating the client about all pros and cons for all options and allowing the client to choose an option.

Enter as many fields as possible about the client into the 1st meeting file.
If the client is already entered and ready to move onto the 2nd step. Go to the 2nd meeting.

Make print-outs of client record, keep one copy and give another to client.

2nd Meeting

1.       Make a copy of all IDs

2.       Fill-out client information in system

3.       Make  print-outs  from client file

a.       Consent under “PIPEDA”

b.      GTA Questions for Trustee

c.       Client Info page for trustee

d.      GTA Service Agreement & Fee settlement

e.      Get sign on all required sheets

4.       Take GTA fee

5.       Create Closing sheet

6.       Update  Sign up date and time in sign up calendar

7.       Make proper file for Trustee

8.       Upload file to GTA Server and update sign up calendar

9.       Double check sign up calendar that file sent to trustee (one day in advance)

10.     Call to client one day in advance to confirm the appointment.

 

Sign up Meeting

 1.      Collect remaining GTA fee.

2.       Collect Other fee (if applicable)

3.       Collect D and S 1st Payment in Cash

4.       Make print-outs from closing sheet file.

5.       Go to Counselling's Sheet File

6.       Make a print-out of Counselling's Sheet Schedule page one only

7.       Get signature on all required sheets

8.       Make a photocopy of all papers signed by client for your record

9.       Put  all documents along with booklet, pen, and gift in GTA folder and give to client

10.     Get sign up with trustee.

 
Sign up File Uploading Procedure - Thursday, December 29, 2011

File Sending Process:

1.       Prepare complete file, make print-outs, photo copy all Ids and related documents.

2.       Scan all documents as one single file, save at your computer or at main computer.

3.       Upload at GTA FTP Server and update signup calendar with check “Uploaded”

4.       File should be uploaded 24 hours in advance.

5.   Check sign up calendar one days in advance (after 3:00pm), if files sent to trustee then call your client and remind about sign up day and time. If calendar shows file not sent to trustee , immediately email at 911@gtacredit.com
